Overview
Use Bookings in the Mallard Bay mobile app to find reservations, review trip readiness, and update booking details while you are in the field. The mobile booking workflow uses these app screens: Bookings, Booking, CreateBooking, and EditBooking.
Find a Booking
Open Bookings to view reservations by status: approved, requested, denied, canceled, completed, or groups. You can search bookings, sort by date booked or trip start date, and open a booking card to see the full booking record.
Booking cards show key field details such as the listing, customer name, trip dates, guest count, lodging check-in information when lodging applies, payment status, group pay status, and unread activity.
Review Booking Details
Open a booking on the Booking screen to review the information guides and outfitters need before a trip, including:
- Booking status, booking ID, booked-on date, invoice number, listing, and outfitter.
- Customer contact details, with messaging available when your access allows it.
- Submitted forms when the booking has forms with submissions.
- Trip dates and itinerary items, with an option to add the trip to Apple Calendar or Google Calendar.
- Trip packages, guest counts, add-ons, guides, resources, lodging, and gear list details.
- Payment summary, payments, payment requests, group pay information, and unpaid balances.
Notes are attached to the booking record so your team can keep operational context with the reservation.
Approve or Decline Requested Bookings
Requested bookings show approve and decline actions when your role has permission to manage booking actions. Approving moves the booking forward for operations. Declining rejects the request from the mobile booking detail workflow.
Create a Booking
Use the plus button on Bookings to open CreateBooking. This creates an off-platform booking in mobile.
The form supports selecting a listing and pricing package, choosing trip dates, setting guest count when the package prices per guest, reviewing the calculated total, entering customer details, adding notes, and choosing whether to send the client a confirmation notification.
Required fields include a listing, pricing package, first and last name, phone number, trip dates, and a valid phone number. Email is required when the booking flow requires email, such as when sending the client confirmation notification.
Edit Booking Information
Use actions on the Booking screen to update booking details when your role and the booking state allow it.
For platform bookings, mobile can support editing guests and dates through EditBooking, changing check-in and check-out times, resending booking email for approved or completed bookings, requesting an additional payment when allowed, and canceling approved bookings.
For off-platform bookings, mobile can reopen CreateBooking with the existing booking details so you can update the listing package, dates, guest count, total, customer details, and notes. Off-platform bookings can also be deleted from the booking menu.
Manage Field Assignments
From the booking detail sections, you can assign or update guides, resources, and lodging when your access allows it. When changing these assignments, the app can also update availability based on the booking resource changes.
Booking Groups
The Bookings screen includes a Groups tab for booking groups. From the Bookings header menu, you can start creating a booking group for approved bookings. Groups help organize related bookings for scheduling and field operations.
